Legal & Official Letters

Sending legally-sensitive correspondence

Yes, cease and desist letters are one of our most popular use cases. Whether you need to address trademark infringement, copyright violations, harassment, or other disputes, our service provides a professional paper trail. Many legal professionals recommend sending these via physical mail to establish clear documentation. While we provide the delivery service, consult with an attorney for the letter's legal content.

Absolutely. Physical mail is often preferred or required for legal correspondence because it creates a verifiable paper trail. Our service is used for demand letters, contract termination notices, formal complaints, and various legal communications. First-Class Mail provides proof of mailing, and you can track when your letter was processed.

While we can mail documents, be aware that certain court filings have specific service requirements. Some jurisdictions require certified mail, personal service, or specific delivery methods. Check your local court rules before using any mail service for legal filings. For general correspondence with attorneys or informal legal matters, our service works well.

We offer templates to help you get started, but legal documents should be reviewed by a qualified attorney. Our templates are designed to give you a professional starting point for common situations like demand letters, formal complaints, and notices. Always have important legal correspondence reviewed by legal counsel.

Real Estate & Property

Landlord and tenant communications

Eviction notices are a common use of our service. Landlords use WriteToMail to send pay-or-quit notices, lease violation notices, and termination of tenancy letters. Physical mail creates documentation that you provided proper notice. Keep in mind that eviction laws vary by state and locality—some require specific delivery methods, so verify your local requirements before proceeding.

Definitely. Many leases require written notice before moving out, typically 30 or 60 days in advance. Sending your intent to vacate through WriteToMail ensures you have a record of when you notified your landlord. This protects you from disputes about whether proper notice was given, especially regarding security deposit returns.

Property managers and landlords regularly use our service for rent increase letters, lease renewal offers, and property inspection notices. Having these communications in writing through physical mail provides documentation that's harder to dispute than email or verbal communication.

Yes, our bulk mailing feature is perfect for property managers who need to send notices to multiple units or properties. Upload your recipient list, customize your letter, and we handle printing and mailing to each address. This saves significant time compared to printing, stuffing, and mailing individually.

Business Communications

Professional and commercial mail

Many businesses use our platform for customer communications that benefit from a physical touchpoint. This includes welcome letters for new clients, thank-you notes, annual statements, policy updates, and marketing materials. Physical mail often achieves higher engagement than digital channels for certain demographics.

Collection agencies, medical offices, and businesses use our service for payment reminder letters and collection notices. Physical letters often get more attention than emails and create documentation of your collection efforts. For formal debt collection, ensure your letters comply with FDCPA regulations and state laws.

Yes, you can upload your company letterhead and branding. Our editor lets you customize the look of your letters with your logo, colors, and professional formatting. This maintains brand consistency across all your physical mail communications.

We offer solutions for businesses that need to send mail programmatically. Contact our team to discuss integration options for your specific workflow, whether that's CRM integration, automated trigger-based mailings, or custom implementation.

Delivery & Tracking

How your mail gets delivered

Letters are typically printed and entered into the USPS mail stream within 1-2 business days. From there, First-Class Mail delivery depends on the destination—usually 5-7 business days for domestic addresses. Total time from submission to mailbox is typically 6-9 business days.

You can track the production status of your letters through your account dashboard. We show when your letter was received, printed, and entered into the mail stream. Standard First-Class Mail doesn't include USPS tracking, but you'll know exactly when we handed it off for delivery.

If USPS can't deliver a letter and returns it to us, we'll notify you through your account. This typically happens with incorrect addresses or when the recipient has moved without forwarding. You can then update the address and resend if needed.

Currently, we send letters via USPS First-Class Mail. For situations requiring certified mail, return receipt, or other special services, you may need to visit your local post office. We're always evaluating additional service options based on customer demand.

Privacy & Security

Protecting your information

Your letters are processed securely and we take privacy seriously. We use a professional mail provider that maintains SOC 2 Type II and HIPAA compliance to print and mail your letters. Letters are printed in a secure, controlled environment, sealed, and mailed. We retain letter data in your account for your records, but access is restricted. Review our privacy policy for full details on data handling.

Only you can access your letters through your account. Your letters are printed and mailed by our trusted mail provider, which maintains strict security standards including SOC 2 Type II and HIPAA compliance. They process letters in a secure facility but don't retain or review content beyond what's necessary for production. Once sealed and mailed, your letter is handled by USPS under their delivery standards.

We understand many letters contain sensitive information—legal notices, financial matters, personal communications. That's why we partner with a mail provider that maintains SOC 2 Type II and HIPAA compliance, ensuring your documents are handled with enterprise-grade security throughout the printing and mailing process. If you have specific security requirements for high-volume or sensitive mailings, contact us to discuss enterprise solutions.
